Location: Hampshire College Campus in Amherst, MA

Reports to: Registrar and Director of Central Records

Hampshire College, an independent, innovative liberal arts institution and member of the Five College consortium, is located on a beautiful rural campus in Amherst, Massachusetts. We provide residential undergraduate education to nearly 600 students. Each department at Hampshire College contributes to the collaborative culture of the organization and plays an important role in the success of the College The office of central records (Hampshire’s Registrar’s Office) protects and maintains student academic records. We provide students with access to their academic records; communicate policies and procedures; prepare transcripts; schedule classroom space; certify enrollment and/or graduation; provide course registration for Hampshire and the Five Colleges; and prepare other college records and statistics. Our staff helps students navigate TheHub, the web portal interfacing with the college database. Central records staff are crucial team members who help the community perform these tasks as seamlessly as possible.

DESCRIPTION OF RESPONSIBILITIES:

Under the general direction of the registrar and in compliance with FERPA regulations, the assistant registrar is responsible for assisting in the administration of the college's student records, including developing policies, procedures, and strategies to achieve the goals of the office. The position evaluates inbound transcripts for all students for inclusion in student academic portfolios; registers and tracks students on field study and exchange programs; participates in meetings and other activities for transfer students during orientation and beyond; provides guidance for transfer students through the Divisional system; tracks student progress in Division III including student graduation clearance and reporting; assures that student timelines to graduation are accurate and reflect leave of absences and changes approved by CASA.  The assistant registrar manages and coordinates communications having to do with divisional dates, deadlines and adherence to policy; certifies enrollment for students with VA benefits and participates in ongoing VA training as an SCO; records Five College certificates in transcript notations; manages the central records email account; manages the purchasing card and orders supplies for the office; maintains and updates the documentation of procedures relevant to the position; provides back-up for course set-up and registration, enrollment reporting to the National Student Clearinghouse, and transcript production. In the absence of the registrar, the assistant registrar is responsible for the central records office. 

REQUIRED SKILLS:

  • Ability to use central database and file servers to store documents.  
  • Ability to use Microsoft Office suite of products, including mail merges, documents and creating charts and graphs in Excel. 
  • Ability to create and maintain Qualtrics forms and surveys.
  • Ability to use and develop reports with college reporting tools, using knowledge of fields in the database to ensure accurate reporting.
  • Ability to communicate clearly orally and in writing to all constituents.
  • Excellent customer service and interpersonal skills required, especially to diffuse tense situations with students and their committees.  
  • Ability to set priorities and handle multiple tasks in stressful moments in the academic year.
  • Experience with web content management systems.
  • Experience with working directly with people from diverse racial, ethnic, and socioeconomic backgrounds.
  • Supports and enhances a sense of belonging and the success of students from traditionally marginalized populations. 
  • Passionate about working in an organization that values and promotes diversity, equity, inclusion and anti-racism.

REQUIRED CERTIFICATION, EDUCATION, AND EXPERIENCE:

  • Four-year college degree or equivalent
  • Minimum of three years job-related experience

Alternatives to formal education and paid work experience may be considered as equivalent qualifications to include military service/training, volunteering, activism, and other non-traditional programs and experiences related to the position.
