Pay Range/ Status: $23.50 - $25.50 Hour / Non-Exempt

Location: Hampshire College Campus in Amherst, MA

Reports to: Registrar and Director of Central Records

Anticipated Start Date: August 1, 2022

Hampshire College, an independent, innovative liberal arts institution and member of the Five College consortium, is located on a beautiful rural campus in Amherst, Massachusetts. We provide residential undergraduate education to nearly 600 students. Each department at Hampshire College contributes to the collaborative culture of the organization and plays an important role in the success of the College. The office of central records (Hampshire’s Registrar’s Office) protects and maintains student academic records. We provide students with access to their academic records; communicate policies and procedures; prepare transcripts; schedule classroom space; certify enrollment and/or graduation; provide course registration for Hampshire and the Five Colleges; and prepare other college records and statistics. Our staff helps students navigate TheHub, the web portal interfacing with the college data-base. Central records staff are crucial team members who help the community perform these tasks as seamlessly as possible.

DESCRIPTION OF RESPONSIBILITIES:

Under the general direction of the registrar and in compliance with FERPA regulations, the academic records specialist is responsible for the preparation of student transcripts; responds to student and third party questions regarding the policy and procedure for the transcription of student academic records; and archives student records for permanent storage. In collaboration with the academic administrators, the academic records specialist manages student legal name changes and pronoun changes; registers students for Hampshire courses when manual registration is required; manages apostille requests; prepares enrollment verifications; data-enters address changes; and provides Notary Public services.  In addition, the academic records specialist supervises and trains student assistants; provides counter service and phone answering in the absence of student workers; maintains and updates documentation of procedures relevant to the position; serves as a back-up for managing the central records email account; and provides general support of the central records office.

REQUIRED SKILLS:

  • Ability to work both independently and under minimal supervision, as well as in a team environment.
  • Maintain confidentiality according to FERPA regulations in all student-related matters.
  • Attention to details and a high level of discretion.
  • Excellent customer service and relationship management skills.
  • Excellent interpersonal and organizational skills.
  • Proficiency in Microsoft Office applications.
  • Ability to use databases, informer reporting tools and file servers.
  • Ability to organize and perform multiple tasks that include projects with deadlines.
  • Perform work requiring concentration in an environment with frequent interruptions.
  • Ability to maintain composure in a stressful environment.
  • Ability to supervise student workers.
  • Experience with working directly with people from diverse racial, ethnic, and socioeconomic backgrounds.
  • Supports and enhances a sense of belonging and the success of students from traditionally marginalized populations.
  • Passionate about working in an organization that values and promotes diversity, equity, inclusion and anti-racism.

REQUIRED CERTIFICATION, EDUCATION, AND EXPERIENCE:

  • Two-year college degree or equivalent
  • Minimum of two years’ job-related experience

Alternatives to formal education and paid work experience may be considered as equivalent qualifications to include military service/training, volunteering, activism, and other non-traditional programs and experiences related to the position.
