Hampshire College, an independent, innovative liberal arts institution and member of the Five College consortium, is accepting applications for a purchasing office assistant.

The purchasing office assistant will have an active role in the operation of the purchasing office by providing customer service for external and internal communities, visitor stewardship, and staff relationships; maintaining and monitoring the use of the College's purchasing card system administered through JP Morgan Chase; auditing card holders' statements and receipts; and administering changes to cardholders' accounts according to established policy. The office assistant will be responsible for producing relevant reports to track card holder compliance; providing guidance and training on policies regarding proper use of the JP Morgan Chase purchasing card system; assisting internal customers using the Colleague Purchasing Module with activities such as processing purchase orders, adjusting completed purchase orders and requisitions; and assisting internal customers using the ESM eProcurement. This position is responsible for providing administrative support to the procurement manager and business office, as well as assistance for the accounts payable function when necessary.

Associate’s degree with a minimum of two years job-related experience or an equivalent combination of education and experience is required.   Qualified candidate must have exceptional customer service skills, with proficiency in trouble shooting, problem solving, training and conflict resolution; experience with Excel spreadsheets; and ability to compose correspondence for  campus announcements, office webpages, and email. The purchasing office assistant must be able to function effectively in a fast-paced environment, with the capacity to organize and manage large amounts of information.  Candidate must be able to lift up to 25 lbs. A commitment to working with people from diverse backgrounds is essential.

This 35-hour per week, benefited position holds a grade 3 in the Hampshire College staff salary grading schedule. We offer a competitive salary and an excellent benefit package.
