DESCRIPTION OF RESPONSIBILITIES:
The assistant to vice president for student affairs and dean of students is a full-time, 12-month, highly motivated, professional staff member who is responsible for providing administrative and organization support directly to the vice president for student affairs and dean of students, manage the daily operations and budget of the dean of students office and coordinate cross-functional collaboration and projects within the division. The assistant addresses student needs, develop initiatives, plan and execute events and projects. Additionally, the assistant will provide support when needed to the director of student affairs housed within the dean of students office.
The assistant is a student development practitioner who cares deeply about forming strong relationships and engaging in meaningful experiences with students, open to new and challenging experiences directed toward professional growth, and committed to creating and contributing to an inclusive campus community. This position should be a positive role model and needs to be highly visible, maintain high student contact, and work effectively with students, faculty, and staff. The assistant must feel comfortable working in an evolving, face-paced organizational framework with shifting responsibilities.
This position collaborates with cross-divisional staff to meet the department goals, and further the mission of the division of student life. The assistant will contribute to campus-wide educational initiatives, for instance the ENGAGE Day of Learning, New Student Orientation, Community Orientation, and Community Education Day that advance the College’s commitment to diversity, equity and inclusion. Participates as a committed member of the student life team in college and division committee work, projects, meetings, retreats, and overall community development: assists in the coordination and facilitation of academic courses, co-curricular activities and services for students. Evening and weekend hours are frequent.
Must have executive administrative support skills, be detailed oriented with excellent planning, organizational and management abilities, have strong nurturing and excellent interpersonal communication skills both verbal and written, ability to maintain positive student-centered relations, and continuously helpful attitude to both the campus community and external constituents. Ability to handle multiple tasks at one time.
Possess an understanding of student development, supervisory experience and a commitment to improving the lives of students; the ability to work in a team–oriented environment with an emphasis on partnership and collaboration.
A demonstrated commitment to promoting diversity, equity and inclusion across the organization; and tact and diplomacy in handling sensitive and/or confidential matters required; Ability to flex communication style to multiple cultural environments; Excellent written and verbal communication skills, and ability to present to diverse audiences, specifically racially, ethnically, and socioeconomically diverse communities; Promotes diversity, equity and inclusion activities; Ability to cultivate and develop inclusive and equitable working relationships with students, faculty, staff and community members; Supports and enhances a sense of belonging and success of students from traditionally marginalized populations.
Exceptional skills in project management and writing required; Proficiency in project analysis, strategic thinking and organizational dynamics; Proven ability to multi-task, work independently, collaborate with various levels of internal and external parties, adapt to changing priorities, and work in a fast-paced environment; Excellent interpersonal skills, along with integrity and a sense of humor.
Ability to respond well to crisis situations. Have the mental agility to exercise judgment and initiative, discern situations that necessitate confidentiality and maintain their confidentiality and, act and determine direction in ambiguous situations.
Duties require high level of office skills, comfort with using computer systems, including advanced experience in MS Word/Excel, PowerPoint, Qualtrics, Colleague, electronic calendar software, and major social media platform. Excellent judgement and ability to work independently.
REQUIRED CERTIFICATION, EDUCATION, AND EXPERIENCE:
- Four-year college degree or equivalent preferably in education, liberal arts, creative writing, business administration
- Three years of job-related experience is required.
Alternatives to formal education and paid work experience may be considered as equivalent qualifications to include military service/training, volunteering, activism, and other non-traditional programs and experiences related to the position.
