Hampshire College, an independent, innovative liberal arts institution and member of the Five College consortium, is accepting applications for a grants assistant to support the grants office in the Office of College Advancement.

Under the supervision of the associate director of grants, the grants assistant takes an active role in managing the work of the grants office including the coordination and tracking of grant activities required to ensure the effectiveness of the unit, writing stewardship reports to funders, and managing the day-to-day activities of the office. Duties include grants management through the creation of proposal files and tracking proposal submissions, awards, and/or declines; keeping government and foundation information current for key personnel contacts; and maintaining and managing grants activity logs and reporting schedules. In addition, the grants assistant will research foundations and government entities using professional databases, the internet, and news articles to find possible opportunities for institutional and faculty funding; assist in compiling institutional information required for proposals and reports; draft grant acknowledgement letters and process award agreements in coordination with the advancement gifts & records specialist; and prepare publicity forms for communications office upon receipt of all faculty grant awards. This position will maintain and update the grants office website; assist with organizing grant-seeking and management workshops for faculty; assist in preparing email notices and materials for Hampshire Grants Committee meetings, Five College Grants Committee meetings, and others as appropriate; organize and maintain grants office files, including hard copy and electronic files; process credit card payments and travel expenditures for grants office staff reimbursements; and make travel arrangements for grants office staff as needed.

A bachelor’s degree with a minimum of 1 year’s job-related experience is required. The ideal candidate must have excellent verbal, written and interpersonal communication skills, including clear, competent writing. Proficiency in Microsoft Office (e.g., Word, Excel, PowerPoint), including familiarity with financial reporting is required; experience with professional software (e.g., Foundation Directory Online) and basic web editing preferred. The successful candidate will have strong organizational skills, particularly the ability to manage multiple projects at one time, and work well under pressure with proposal and report submission deadlines. The grant assistant must be able to work independently as needed, and as a collaborative member of the Advancement & Grants teams. Candidate for this position must be able to lift a minimum of 25 lbs. A commitment to working with people from diverse backgrounds is essential.
